1. Who we are

These terms apply to all tours booked with Ambiance Motorbike Tours Ltd ("we", "us", "our"), a company registered in England and Wales under company number COMPANY NUMBER, registered address REGISTERED ADDRESS.

2. Booking and payment

A booking is confirmed only once we have acknowledged it in writing and received your deposit. Until then, no place is held.

  • Deposit: AMOUNT, payable at the time of booking
  • Balance: due NUMBER days before departure
  • Payment methods accepted: BANK TRANSFER / CARD / OTHER

If the balance is not paid by the due date we may treat the booking as cancelled by you, and the cancellation charges in section 3 will apply.

3. If you cancel

Cancellations must be sent to us in writing. Because accommodation is booked and paid for well in advance, the following charges apply based on how many days before departure we receive your notice:

  • X days or more: X% refund
  • X to X days: X% refund
  • Fewer than X days: no refund

We strongly recommend travel insurance that covers cancellation, so that you are not out of pocket if something unavoidable comes up.

4. If we cancel or change a tour

Occasionally we may need to cancel a tour — for example if too few riders book, or because of circumstances beyond our reasonable control. If we cancel, you will be offered either a full refund or a place on an alternative tour.

We may also need to alter routes, accommodation or timings. Where we do, we will keep the change as small as possible and tell you as soon as we can. Minor changes of this kind do not entitle you to a refund.

5. What the price includes

Unless stated otherwise on the tour page, the price includes accommodation for the nights listed, the meals listed, route planning, GPX files, and guided riding with a lead and sweep rider.

It does not include fuel, lunches, drinks, your own motorcycle insurance, breakdown cover, travel insurance, or getting yourself to and from the meeting point.

6. Your responsibilities

By booking, you confirm that you will:

  • Hold a full, valid motorcycle licence for the machine you are riding
  • Hold valid motorcycle insurance for the whole tour
  • Bring a bike that is roadworthy, taxed, MOT'd where required, and fit for the distance
  • Arrange your own UK breakdown cover including motorcycle recovery
  • Wear appropriate protective equipment, including a helmet meeting UK legal standards
  • Tell us in advance about any medical condition, medication or dietary requirement that could affect your safety or ours
  • Not ride under the influence of alcohol or drugs at any point during the riding day

7. Riding on tour

This is the important one, so we will put it plainly.

You are responsible for your own riding at all times. Our guides plan the route, brief you on it, lead and sweep the group, and offer advice — but they do not and cannot control how you ride. You remain solely responsible for your speed, your road positioning, your overtakes, your machine, and for obeying road traffic law.

Nothing said or done by a guide overrides your own judgement or the law. If a guide's line or pace does not feel right for you, do not follow it. Ride your own ride.

8. Conduct

We reserve the right to remove any rider from a tour, without refund, whose riding or behaviour puts themselves, the group, or other road users at risk. This includes riding while impaired, persistent dangerous riding after being spoken to, or behaviour that makes the tour unpleasant for others. We do not expect ever to use this, but it exists so that we can protect the group if we must.

9. Our liability

We will carry out our services with reasonable care and skill. We are responsible for foreseeable loss and damage caused by our failure to do so.

We are not liable for loss or damage arising from your own riding, your own machine, the acts of other road users, or anything outside our reasonable control. We are not liable for business losses.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else which cannot lawfully be limited.

10. Insurance

Our public liability and tour leader insurance covers our activities as an operator. It does not cover your motorcycle, your belongings, your medical costs, or your liability to others. You must hold your own motorcycle insurance, and we strongly recommend travel and personal accident cover as well.

11. Complaints

If something is wrong on tour, tell a guide straight away so we have a chance to put it right there and then. If it cannot be resolved at the time, email hello@ambiancetours.co.uk within NUMBER days of the tour ending and we will respond within NUMBER working days.

13. Governing law

These terms are governed by the law of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
